This policy tells you how we collect information about you and what we do with it
The top line is that we’ll only ever collect information you give us permission to use, we’ll never sell it to anyone else, and if you ask us to delete it from our records, we’ll do that straightaway. The rest of the policy explains this in much more detail.

1. When you visit this website
The information we collect
We use Google Analytics to collect details about how you use the website – like the pages you visit, and how long you spent reading them. It collects details about how you’re accessing it – like the city you’re in, the device you’re using, and your internet browser and operating system. It also collects your IP address, but it collects it in an anonymised form. None of this information could be used to identify you.
Google Analytics collects this information through cookies. You can find more information about these in our cookie policy, and in Google’s developer guides.
What we use it for
To get a better understanding of how people find our site in the first place, and then how they find their way around it.
How we store it
Google Analytics stores information about the pages you visit and how you’re accessing them on their database, which is what we can see when we log in.
Who we’ll share it with
We can’t access any information that could be used to identify you. So, we can’t share it either!
How long we’ll keep it for
Google Analytics will keep your information on their database.
If you want to, you can stop Google Analytics from tracking your journey on our website. To do this, visit https://cookies.insites.com/disable-cookies/. This will disable Google Analytics on any website you visit, not just ours.

2. If you give a gift to support our work
The information we collect
We use a four third parties, Charities Aid Foundation, Just Giving, PayPal and Total Giving, to receive and process online donations made to us. Each third party requires the appropriate personal and financial information to allow them to process the donation and claim any associated gift aid.
Where we receive a direct donation to our bank account or via cash and cheque, we retain the appropriate personal information to allow us to identify you as a donor and to claim any associated gift aid.
We also use a third party, Eventbrite, to manage ticket sales for our events, they require the appropriate personal and financial information to allow them to process the payment and to provide the ticket details to you and us.
What we use it for
We use your information for processing your donation or payment, to claim any associated gift aid and to identify and communicate with you regarding your donation or payment.
How we store it
Where we receive your donation or payment by a third party, your information is retained by that third party. We will only separately record your name and contact details in our accounting system, Quick Books, and on our internal database on Google Drive. Where we receive your donation or payment directly we will also retain additional information to support any associated gift aid claims on Google Drive.
Who we’ll share it with
This information is only used to process your donation and internally to identify you as a donor. We’ll never pass it on to anyone else.
How long we’ll keep it for
We are required by tax and accounting requirements to retain records for typically 6 years after the end of the accounting year. We will retain the records securely and will not retain your information longer than this required period.
3. If you sign up to our email newsletter
The information we collect
We’ll ask for your email address and your name.
What we use it for
To send you emails every now and again about the impact of our charitable work, our fundraising events, blogs we’ve written, videos we’ve made, or other interesting content we think you’ll be interested in.
How we store it
When you sign up, the name and email address you give us will be forwarded to MailChimp – they’re the company we use to send our newsletter. MailChimp will store your email address on their database. We’ll also store the information you give us on Google Drive, which is where we store our internal databases that we use to log our subscribers’ details. No other company has access to this information.
Who we’ll share it with
Apart from MailChimp and within our internal database on Google Drive, no one. We’ll never share your email address with anyone else.
How long we’ll keep it for
Your email address will stay on MailChimp’s database and within our internal database on Google Drive for as long as we continue to use them to send our emails, or until you unsubscribe.
You can unsubscribe from our emails at any time. You can do this by clicking the ‘unsubscribe’ link we include in our emails. Or you can email us at info@creatingbetterfutures.org.uk – just make sure you do this from the email address you first used to subscribe.

If there’s a data breach
If there’s a data breach of this website’s database, or any of our third party data processors, we’ll let you and the Information Commissioner’s Office (ICO) know within 72 hours.
Your data rights
Personal data is any information that could be used to identify you. You have a right to see any personal data we hold about you, get a copy of it, update it if it’s wrong, or ask us to delete your details from our records. To do any of these things, drop us a line at info@creatingbetterfutures.org.uk.
